Description

If your organization API key expires, it’s not dramatic… until everything quietly breaks. Automations stop, tasks fail, and Monday morning turns into detective work. In this video, you’ll set up one webhook so Jira Automation warns you 7 days before an API key expires—by automatically creating an admin ticket (or sending an email / Slack / Teams notification). Hey, I’m Vin, Technical Support Engineer (DevOps) at re:solution GmbH. I help admins make user management predictable, and I don’t trust anything called “just a small change.” 😄 What you’ll build - A Jira Automation rule triggered by an Incoming Webhook - A webhook configured in User Management & License Optimizer that fires on “API key expiring soon” - A clean outcome: incident/ticket created automatically (no surprises, no missed renewals) Why this matters (enterprise mindset) In enterprise setups, you don’t want late-stage debugging. You want: • early signals • clear ownership • auditable actions An expiring key is a known risk with known data, so it should never be missed. ⸻ Step-by-step flow covered in the demo 1) Create a Jira Automation rule (project/space level) • Go to your IT Ops / JSM project automation • Create a rule from scratch • Trigger: Incoming webhook • Action: Create work item (Incident / Task / your preferred type) • Add a useful summary • Add optional description for context Save/enable the rule, then copy: • Webhook URL • Secret (Also adjust the rule settings so it can accept webhooks even when no issue context exists.) 2) Add the webhook in the app • Go to Settings → Atlassian Automation Webhooks • Add webhook: • Name it clearly • Paste Webhook URL + Secret • Select trigger: Organization API key expires in 7 days • Add notes (recommended for team visibility) • Activate + save 3) Test it (don’t skip this) • Send a test webhook from the app • Check: • Jira Automation audit log (did every step run?) • Your queue/board (did the ticket get created?) If the ticket appears: you’ve turned a silent risk into a predictable process.
