Today we're going over how to create Signing Layouts inside of Authentisign. Signing layouts come in handy when you frequently apply the same signing fields and markups to the same document in the same locations. Creating a layout enables you to set up those signing fields and markups in advance, and then apply them to a document with a single click, saving you valuable time manually setting up each field and markup on the same document every time. A layout can be created for one document at a time, and must contain at least 1 Signer-type participant and 1 Signing field. You can either create a layout from within the create signing page, if you are already working on a signing, or, you can create a new layout from the Signing Layouts page. If you are working in the create signing page, you can create multiple layouts at once, one for each of your documents.We will begin by creating a signing as we normally would. For this example, we have received an offer on our listing and the sellers have chosen to accept the offer. The file that we received has the proof of funds and the pre-approval included with the Offer documents in one PDF file. We will use the split and rotate tool to separate these documents into three individual files. Once we have the offer documents saved on their own, we will bring the offer into Authentisign to tag for signature. This file was not generated in our zipForm account, so Authentisign will not automatically tag signatures and initials the way that it would if we were preparing for the buyer to sign. Using the Tools menu, we will tag the document with the appropriate tags for each participant. We will now save these tags as a layout. From the Layouts menu, use the LAYOUT OPTIONS dropdown to select Create Layouts. The Create Signing Layouts popup will open Enter a name for the layout in the Layout Name field that clearly indicates the purpose of the layout, such as the intended document or participant. Click CREATE. The layout has been created You can update, copy, or delete a layout at any time after you create one, and can apply it to a signing as soon as it is created.Now that we have our layout saved, the next time we are prepared to accept an offer, our layout will be ready to use. Let’s go through that process now. Here we have a signature packet that includes the offer we received from another agent. Once again, because this is a pdf that did not originate from our account, the file will more than likely not automatically tag the signatures and initials of our seller. With the document loaded and the participants added, we will use the Layout menu to select Layout Options and then Apply Layout. We will chose the layout that we just created.
